Why I Use Trello to Plan My Content

Trello is a visual planning tool, basically a digital bulletin board where you can:

✅ Organize cards into categories (lists)
✅ Drag-and-drop content ideas
✅ Add images, due dates, and labels
✅ See your entire content plan at a glance

I use Trello to plan:

  • Instagram posts

  • Reels

  • Email newsletters

  • Product promos

  • Lead magnets

  • Weekly themes

And the best part? It’s FREE. No spreadsheets. No complicated software. Just drag, drop, and done.

The 4-Post Content Rhythm That Keeps Me Consistent

Before we dive into building your Trello board, let’s talk strategy.

I use a content rhythm that’s simple, effective, and designed to convert followers into buyers.

It’s called the 4-Post Content Rhythm:

1️⃣ Personal / Relatable

Let people see the real YOU.
👉 Share your story, beliefs, behind-the-scenes, or a “real life” moment.

2️⃣ Educational / Helpful

Show off your expertise.
👉 Teach something simple your audience can apply right now.

3️⃣ Engagement / Conversation Starter

Get them to comment, DM, or save.
👉 Ask a question, give two options, or run a poll.

4️⃣ Promotional / Call-to-Action

This is where you SELL (without sounding salesy).
👉 Point them to your product, freebie, or program.

Pro Tip: Add a 5th post type for Reels or TikToks!
Use a “Reel of the Day” bucket for short-form video with a hook + CTA format.

How to Set Up Your Trello Content Board

Now that your content rhythm is locked in...let’s build your Trello board.

Here's how to build it from scratch:

Step 1: Create Lists for Each Post Type

  • Personal / Relatable

  • Educational / Value

  • Engagement

  • Promotional

  • Reels (Optional)

  • Monthly Promotions

Step 2: Add Weekly Themes (Optional)
Want to stay even more organized? Add a “Weekly Themes” list where you outline:

🗓 Week 1 – “Mindset & Motivation”
🗓 Week 2 – “Behind-the-Biz”
🗓 Week 3 – “Teach Something”
🗓 Week 4 – “Promote My Offer”

Step 3: Create Cards for Post Ideas
Each Trello “card” = 1 piece of content.
Inside each card, you can add:

  • Your caption

  • Your image idea

  • Notes for your graphic

  • Your CTA

  • Scheduling date

Step 4: Use Labels to Track Progress
Example labels:
🟡 Idea
🟢 Ready to Post
🔵 Scheduled
🔴 Needs Graphic

This helps you visually manage where everything stands, even if you’re batching multiple weeks in advance.

My Weekly Batching Schedule (No Overwhelm Needed)

Here’s my simple weekly batching schedule to keep content flowing:

Monday: Pick Your 4 Posts

Go to Trello → Pick one post for each content bucket.
(You already did the hard work, the ideas are there!)

Tuesday: Write the Captions

Write or voice-dictate your captions.
Use ChatGPT to help you polish them up!

Wednesday: Create the Graphics

Head to Canva and design your posts.
Use your brand colors, photos, and make it scroll-stopping.

Thursday: Schedule the Posts

Use the Meta Business Suite or Stan Store to auto-schedule your content across Instagram and Facebook.

Friday: Film 1–2 Reels (Optional)

Record short-form video to boost reach.
Save them in your phone’s drafts or post right away.
